Jobs, quotes and invoicing
A job moves through a fixed set of statuses. Most of them change themselves.
Enquiry → Quoted → Booked → Assigned → In progress → Completed → Invoiced
Quoting
Open the job, add charges (from a job template if you have set one up) and press Send quote. The customer gets an email with a link where they can accept or decline without logging in. Acceptance is stamped on the job and the status moves to Booked.
You can also quote at the lead stage, before a customer or site exists, from the Sales module. The lines carry over when the lead converts.
Scheduling
Assign one or more engineers with a work date. The Calendar shows every assignment and warns about double bookings and unavailability. Bulk assign handles a week of jobs in one go.
On site
The engineer opens the job in the app, runs the checklist, takes photos, and collects a signature. When the checklist is completed the job moves to Completed on its own and the actual completion date is recorded.
Invoicing
Mark the job Invoiced from the job page. If you have connected Xero in Settings, an invoice is created there from the job's charges. Costs recorded against the job give you a margin per job in Reports.
Documents
Every job, customer, site and engineer has a Documents card. Upload PDFs and photos there; engineers see the ones marked visible to them. Completion reports and signed-off checklists are generated as PDFs automatically.
